Job Costing for Contractors: Track Labor Materials and Real Profit

You can’t know if a job made money until you know what it truly cost — and “revenue minus parts” isn’t it. Job costing is the discipline of tracking the real cost of each job so you know your actual profit, not a guess. Here’s how to do it and why it changes everything.

Why job costing matters

Plenty of busy contractors are shocked to learn that some of their jobs — or whole service lines — lose money. Without job costing, you fly blind: you see revenue and a bank balance, but not which work is actually profitable. Job costing reveals the truth, so you can price correctly, drop unprofitable work, and grow the profitable kind (price book).

The three cost components

For each job, track:

  • Labor: hours worked × your fully loaded labor rate — wage plus burden, not just the hourly wage (labor burden).
  • Materials: the actual parts and materials cost for that job.
  • Overhead: the job’s share of your fixed costs — rent, trucks, insurance, admin (overhead recovery).

Job profit = Revenue − (Labor + Materials + Overhead). Skip any component and your “profit” is fiction — especially skipping burden and overhead, the two most commonly ignored.

How to actually track it

  1. Capture labor hours per job — time tracking that ties hours to the specific job.
  2. Record materials per job — link purchases and truck stock to the work order.
  3. Allocate overhead using your overhead recovery rate per billable hour.
  4. Compare to what you charged — actual cost vs. quoted price = real margin.
  5. Use your FSM/accounting tools to make this routine, not a spreadsheet chore (FSM software).

What job costing tells you

  • Which services are actually profitable — and which to reprice or drop.
  • Whether your price book is accurate — validate quotes against reality.
  • Which techs/crews are efficient.
  • Where estimates go wrong so you quote better next time.
  • Whether you’re hitting trade margins (benchmarks).

Feed it into a clean bookkeeping system

Job costing works best on top of an organized chart of accounts so costs land in the right buckets (chart of accounts). Then use the data to raise prices where you’re underwater (raising prices).

More profit per job starts with more trust

Job costing tells you what to charge; reputation lets you charge it. Well-reviewed businesses command better prices and win higher-value work, which lifts margins on the exact jobs you’re costing. Tailwind builds that reputation automatically — see how it works.
