A Clean Chart of Accounts for Home Service Businesses (Template)
What a chart of accounts is
The chart of accounts (COA) is the organized list of every account your bookkeeping uses — your income types, cost of goods, expenses, assets, and liabilities. It’s the filing system for your finances. A well-designed COA makes everything downstream possible: accurate job costing, real margin analysis, painless taxes, and lender-ready financials (job costing).
Why the generic default fails contractors
Out-of-the-box accounting templates lump costs into vague buckets that hide what matters for a service business — especially the split between direct job costs and overhead. Without that separation, you can’t see gross margin or recover overhead properly, which are the two things that determine whether you’re actually making money (overhead recovery).
A clean structure for home services
Income
- Separate revenue by service line (e.g., repair, installation, maintenance plans) so you see which makes money.
Cost of Goods Sold (direct job costs)
- Direct labor (with burden — labor burden).
- Materials and parts.
- Subcontractor costs.
- Equipment rental for jobs.
- Permits/fees billed to jobs.
Keeping COGS clean is what lets you calculate gross margin (margin benchmarks).
Overhead / Operating Expenses
- Rent, utilities, office salaries.
- Vehicles (fuel, maintenance, insurance).
- Insurance (GL, workers’ comp).
- Marketing and software.
- Credit card processing fees (processing fees).
- Professional fees, licenses (licenses).
Assets & Liabilities
- Bank accounts, equipment, receivables; loans, credit lines, sales tax payable (sales tax).
Best practices
- Separate COGS from overhead — the single most important choice for a service business.
- Don’t over-complicate it — enough detail to be useful, not so much it’s unmaintainable.
- Be consistent — code the same expense the same way every time.
- Reconcile monthly so the data stays trustworthy (cash flow forecast).
- Have your CPA review it — a good COA setup pays for itself.
Clean books reveal where reputation pays off
A well-structured COA lets you see which service lines and marketing channels actually make money — and it will show you plainly that reputation-driven work (referrals, direct calls from reviews) carries the best margins. Tailwind builds that reputation automatically, filling your most profitable channel — see how it works.
