Profitable businesses go under all the time — not because they aren’t making money, but because they run out of cash at the wrong moment. A 13-week cash flow forecast is the simple tool that keeps that from happening to you. Here’s the template and how to use it.

Profit isn’t cash

Your P&L can show a profit while your bank account is empty — because profit counts a job when it’s done, but cash only when it’s collected. Between paying techs and suppliers now and getting paid later (DSO), timing gaps open up. A cash flow forecast tracks the money in the bank week by week, so you see a shortfall coming while there’s still time to act.

Why 13 weeks?

Thirteen weeks (one quarter) is the sweet spot — far enough ahead to spot trouble and react, near enough to forecast with real accuracy. It’s the standard short-term cash tool for exactly that reason.

The 13-week forecast template

Build a simple spreadsheet with 13 weekly columns. For each week:

  1. Starting cash — your bank balance at the week’s start.
  2. Cash in — expected collections: jobs you’ll get paid for, deposits, financing payouts. (Use realistic collection timing, not invoice dates.)
  3. Cash out — payroll, supplier/material payments, rent, loan payments, insurance, taxes, everything.
  4. Net change = cash in − cash out.
  5. Ending cash = starting + net change → becomes next week’s starting cash.

Now you can see, week by week, exactly when your balance dips — and how low.

How to use it

  • Update it weekly with actuals — it’s a living tool, not a one-time exercise.
  • Spot shortfalls early and act: accelerate collections, delay a non-urgent purchase, or draw on a line of credit (line of credit).
  • Plan big outlays (equipment, taxes) around your cash position (estimated taxes).
  • Test scenarios — what if that big receivable pays 3 weeks late?

For seasonal businesses, it’s essential

If your revenue swings with the seasons, the 13-week view is how you make busy-season cash last through the slow months (seasonal cash flow). Build it on a clean chart of accounts so the numbers are trustworthy (chart of accounts).

Steady demand steadies cash flow

The best defense against cash crunches is consistent work coming in — and reviews drive that steady lead flow, smoothing the peaks and valleys. Tailwind keeps your pipeline full by turning every job into reputation that wins the next one — see how it works.
