How to Build a Flat Rate Price Book From Scratch (With Formulas)

A flat rate price book turns your pricing from a nervous on-the-spot guess into a confident, consistent, profitable number every tech can quote. Building one from scratch sounds daunting, but it comes down to a formula and some discipline. Here’s how to build yours, step by step.

Why a price book beats winging it

When techs price on the fly, three bad things happen: prices are inconsistent, they’re often too low (leaving money on the table), and every quote is a stressful negotiation. A flat rate price book fixes all three — the same job gets the same, correctly-calculated price no matter who’s on site, and it’s built to actually cover your costs and profit (flat rate vs hourly).

The pricing formula

Every flat rate price is built from the same components:

Price = (Labor cost + Material cost + Overhead allocation) × (1 + Profit margin)

Get each piece right and the price takes care of itself:

  • Labor cost: your fully-loaded labor rate — not just wage, but the burden (labor burden rate).
  • Material cost: the parts for the job, at your real cost.
  • Overhead allocation: each job’s share of rent, trucks, insurance, admin (overhead recovery).
  • Profit margin: the margin you need to hit your targets (margin benchmarks).

Build it step by step

  1. Calculate your loaded labor rate. Wage + taxes + insurance + benefits + non-billable time = true cost per billable hour.
  2. Determine your overhead recovery rate. Total overhead ÷ billable hours = what each hour must contribute.
  3. Set your target profit margin. Based on trade benchmarks and your goals.
  4. List your common jobs/tasks. Start with your top 20–30 most frequent jobs — they’re most of your revenue.
  5. Estimate labor time and materials for each task from real job data (job costing).
  6. Run the formula for each and record the flat price.
  7. Present with options — good-better-best where it fits (option pricing).

Keep it alive

  • Update for cost changes — material and labor costs move; your book must too.
  • Review margins against actual job costing regularly.
  • Raise prices deliberately when costs rise (raising prices).

Confident pricing needs customer trust

A flat rate price book lets your team quote firmly — but customers accept a firm price more readily when they already trust you. A strong review profile does that pre-selling, so your well-built prices land without a fight.
