CSR Phone Script: Turn More Calls Into Booked Jobs

Why a script matters

A script isn’t about sounding robotic — it’s about never missing the steps that book jobs: capturing the caller’s info, building value, and actually asking for the appointment. Every call you win from ads you already paid for is pure upside, so booking rate is one of the highest-leverage numbers in the business.

The CSR phone script

1. Greeting (warm and branded)

“Thank you for calling [Company], this is [Name] — how can I help you today?” Smile; it carries through the phone.

2. Capture info early

“I can definitely help with that. May I get your name and the best number in case we get disconnected?” Now you can follow up even if the call drops.

3. Discover the need

“Tell me what’s going on.” Then qualify: location, urgency, scope. Listen more than you talk.

4. Build value before price

“We can take care of that. Our techs are [licensed/background-checked], and we’re [rated 4.9 stars / guarantee our work].” Don’t lead with a number.

5. Handle price questions

“Great question — the exact price depends on [X]. Our diagnostic is [$Y] and we’ll give you an upfront quote before any work.” (See objection handling.)

6. Ask for the booking (the step everyone skips)

“I have [Tuesday morning] or [Wednesday afternoon] — which works better?” Offer a choice, not a yes/no.

7. Confirm and set expectations

“You’re booked for [time]. You’ll get a reminder and an ‘on my way’ text.” (reminder templates.)

Coach it continuously

1. Record and review calls against a scorecard.
2. Track booking rate on your dashboard.
3. Coach one habit at a time — usually “ask for the booking.”
4. Don’t let leads die — respond fast to web leads too (lead response time).
