Appointment Reminders That Cut No-Shows by Half (Timing + Wording)

No-shows and forgotten appointments waste your techs’ time and your schedule. A well-timed reminder text cuts no-shows dramatically — often by half. The keys are timing and wording. Here are appointment reminder text templates you can copy, plus the schedule that makes them work.

Why reminders work

Most no-shows aren’t flakes — they forgot, double-booked, or lost track of the window. A friendly reminder with the details (and an easy way to confirm or reschedule) removes the friction that causes missed appointments. It also lets you fill a cancelled slot instead of losing the day.

The timing that works best

  • On booking: immediate confirmation.
  • 24 hours before: the main reminder, with a confirm/reschedule option.
  • Morning of / “on the way”: a heads-up (especially for a tightened arrival window — see shrinking your arrival windows).

Replace [Name], [Business], [date/time], and links in each.

Confirmation (on booking)

  • “Hi [Name], you’re booked with [Business] on [date] at [time]. Reply C to confirm or R to reschedule. See you then!”
  • “Thanks [Name]! Your [service] appointment is set for [date], [window]. We’ll text when the tech is on the way.”

24-hour reminder

  • “Hi [Name], reminder: [Business] is scheduled for tomorrow, [date] at [time]. Reply C to confirm or call [phone] to reschedule.”
  • “[Name], we’re looking forward to seeing you tomorrow [window] for your [service]. Reply YES to confirm.”
  • “Quick reminder from [Business]: your appointment is tomorrow at [time]. Anything change? Just reply and we’ll sort it out.”

Day-of / on-the-way

  • “Good morning [Name]! [Business] is still on for today, [window]. We’ll text when your tech is ~30 min out.”
  • “Hi [Name], your tech [Tech] is on the way and should arrive by [time]. See you soon!”

Reschedule / cancellation

  • “No problem, [Name] — let’s find a better time. Reply with a day/time that works and we’ll get you rebooked.”
  • “We had a slot open up on [date] at [time], [Name] — want it? Reply YES to grab it.”

Best practices

  • Keep it short and always include a way to confirm or reschedule.
  • Make it two-way so replies reach a real person.
  • Stay compliant — get consent and honor opt-outs (TCPA basics).

Then turn the finished job into a review

The same texting channel that cuts no-shows is your best review-request channel — right after the appointment. Tailwind automates reminders and post-job review requests so your schedule stays full and your rating keeps climbing — see how it works.
