How David K. at a boutique Costa Rica hotel ranked into the top three of his destination — and got his Sundays back.
The starting point
David K.'s 22-room boutique hotel was getting strong direct feedback from guests but a tepid online reputation. Booking.com sat at 8.4. TripAdvisor ranked him #14 in his area. Most reviews came in Spanish, English, German, and Portuguese — and David was the only one in the property who spoke all of them well enough to reply.
He spent every Sunday evening replying to TripAdvisor. He still missed reviews. Bookings flatlined.

I'd come back from a Saturday family lunch and there'd be eight new reviews waiting. I'd be replying until midnight. And I knew Booking.com would penalize me on ranking if I didn't keep up — but I had a hotel to run.
What they changed
- Week 1Connected TripAdvisor, Booking.com, Airbnb, Expedia, Google, Apple Maps. Set Tailwind to draft replies in the guest's original language.
- Week 1–2David approved the first 50 AI replies manually to calibrate tone. After that, he set 5-stars to auto-reply and 4-stars to draft-and-approve.
- Week 3Configured Orders Routing for 1- and 2-star reviews — housekeeping issues to housekeeping lead, F&B to F&B manager, anything else to David. Each routed review came with a 24-hour SLA.
- Week 4Enabled Threads for any review under 4 stars. The team learned to follow up privately by email and offer a comp where appropriate. Several guests updated their reviews after recovery.
- Month 2Customer Engagement turned on — post-checkout email at 48 hours, only one ask, multilingual.
- Month 3Mentions added to track travel bloggers and Costa Rica subreddits.

I thought the language thing would be the hardest. It turned out to be the easiest. The AI replies in German felt more natural than my own — I always had to look up phrasing. Now we get compliments specifically for how thoughtful the replies are.
