Before you switch: is it worth it?

The migration checklist

1. Inventory your data

• Customers and contacts
• Job/service history and notes
• Invoices, payments, and outstanding balances
• Estimates and price lists
• Schedules and recurring jobs
• Attachments (photos, documents)

2. Clean before you move

Migration is the perfect time to purge duplicates, fix formatting, and standardize (consistent names, phone formats). Don’t carry junk into the new system.

3. Export properly

Export from your old tool (usually CSV, or via API). Confirm you can get everything out before you commit — some tools make export painful.

4. Map the fields

Match each old field to the new system’s fields. Mismatched mapping is the #1 cause of scrambled data.

5. Test with a sample first

Import a small batch, verify it looks right, then do the full load. Never import everything blind.

6. Run in parallel briefly

Keep the old system accessible (read-only) for a short window so you can reference anything that didn’t transfer cleanly.

7. Verify and reconcile

• Spot-check customers, invoices, and balances.
• Confirm outstanding payments carried over.

8. Train your team

Migration fails when staff revert to old habits. Train everyone before go-live.
