WhatsApp Business Auto Reply: Setup and 20 Message Templates

WhatsApp is the default messaging app for a huge share of the world outside the US, and in cities with large immigrant or international communities, it's often how local customers reach a business before they'd ever call. The free WhatsApp Business app has built-in auto-reply tools that take ten minutes to set up and genuinely help. Here's how to configure them, where they fall short, and 20 message templates you can adapt today.

Setting up native WhatsApp Business auto-replies

The WhatsApp Business app (free, separate from the regular consumer app) has three built-in tools worth setting up immediately, found under Business Tools in settings:

  • Greeting message — sent automatically to a customer the first time they message you, or after 14 days of inactivity. This is your first impression; make it specific to your business, not generic.
  • Away message — sent automatically outside your set business hours, or whenever you schedule it. Lets customers know you saw nothing yet, but you're not ignoring them.
  • Quick replies — saved shortcuts you (or staff) type a "/" command to insert, for the questions you answer constantly: hours, address, pricing. These aren't automatic — someone still has to be in the app sending them — but they turn a two-minute typed answer into a five-second one.

All three are configured once and then just run, which makes them the cheapest possible upgrade to how a business handles WhatsApp. Labels are also worth using alongside them — tagging conversations as "new customer," "order placed," "needs follow-up" so nothing gets lost in a busy chat list.

A couple of setup details worth getting right the first time. The away message can be scheduled (always on, during specific hours, or on a custom date range), which matters if you want it to only fire outside business hours rather than every single time someone messages. And the greeting message only fires once per customer every 14 days by default — so a regular customer messaging you twice in one week won't get the canned welcome a second time, which is the right behavior; nobody wants to be greeted like a stranger by a business they already use.

There's also a distinction worth knowing about even if you're not the one setting it up technically: the free WhatsApp Business app is built for one phone and a handful of staff checking it manually. If a business is getting real volume, it eventually moves to the WhatsApp Business Platform (the API tier), which is what AI-backed assistants and most multi-agent support tools connect through. Same underlying number and customer experience — different backend for handling scale.

Where native auto-replies run out of road

The honest limitation: greeting and away messages are static. They say the same thing to everyone, regardless of what the person actually asked. Someone messaging at 9 p.m. to ask "are you open tomorrow" and someone messaging at 9 p.m. to ask "can I return a pair of shoes" get the exact same away message — something like "thanks for reaching out, we'll respond during business hours." Neither question gets answered. The customer just has to wait.

That's fine for low volume. It becomes a real cost once a business gets enough WhatsApp traffic that "wait until tomorrow" starts losing bookings to whoever answers faster. The upgrade from here isn't more quick replies — it's an AI-backed assistant connected through the WhatsApp Business Platform API that actually reads what the customer asked and answers it directly, 24/7, using the business's real hours, pricing, and policies, instead of pointing them at a static message and a wait.

The two aren't mutually exclusive. A lot of businesses keep the native greeting message as the very first touch and layer AI-backed answers on top of it for everything that follows.

20 WhatsApp message templates by scenario

These are starting points — swap in your real hours, services, and policies, and trim anything that doesn't sound like how you'd actually talk to a customer.

Greeting / welcome

  1. "Hi! Thanks for messaging [Business Name] 👋 How can we help — booking, pricing, or something else?"
  2. "Welcome to [Business Name]! We usually reply within [timeframe]. What can we help with today?"

Hours questions

  1. "We're open [days] from [open time] to [close time]. Anything else?"
  2. "Today we're open until [close time] — last [appointment/order] at [cutoff time]."

Pricing questions

  1. "[Service] usually runs [price range] depending on [what changes it]. Want a more exact quote? Send us a few details and we'll get back to you."
  2. "Our [product/service] starts at [price]. Let us know what you're looking for and we'll confirm the total."

Booking requests

  1. "We'd love to get you in! What day works best, and is there a time of day you prefer?"
  2. "We have an opening [day] at [time] — want us to hold it for you?"

After-hours

  1. "Thanks for messaging — we're closed right now but back [day/time]. We'll get back to you as soon as we're open."
  2. "We're off the clock for today, but we saw your message. First thing tomorrow, we'll follow up."

Out of office / time off

  1. "We're closed for [holiday/reason] until [date]. We'll respond to all messages once we're back."
  2. "Heads up — we're away [dates] and replies may be slower than usual. Thanks for your patience."

Handoff to a human

  1. "That's something our team needs to look at directly — give us a moment and someone will follow up personally."
  2. "I want to make sure this gets handled right, so I'm looping in [Name/team] — they'll be with you shortly."

Order / appointment status

  1. "Let me check that for you — can you share the order number or the name it's under?"
  2. "Your order is [status] — expect it [timeframe]. We'll message as soon as it ships/is ready."

Location / directions

  1. "We're at [address] — [a landmark or parking note that actually helps]. Here's a map link: [link]."
  2. "Easiest way in is [specific directions] — street parking is usually available after [time]."

Deposits and policies

  1. "We ask for a [deposit amount/percentage] to hold your spot, refundable if you cancel [timeframe] ahead."
  2. "Cancellations within [timeframe] of your appointment [policy detail] — just wanted to flag that before we lock in the time."

What makes a template sound robotic (and how to fix it)

The fastest way to ruin a good template is to leave the brackets feeling like brackets — overly formal phrasing, no contractions, no sense that a person at this specific business wrote it. Read each one out loud before using it. If it doesn't sound like something you'd actually say to someone standing at your counter, rewrite it until it does. A short, slightly imperfect sentence beats a stiff, grammatically perfect one every time on WhatsApp — the whole appeal of the channel is that it feels like texting a person, not filing a support ticket.

Emoji help here more than they do on email or a formal contact form — a single 👋 or ✅ signals a human tone without adding words — but don't overdo it. One per message is usually the ceiling before it starts reading as try-hard rather than friendly. And keep templates short enough to read on a phone screen in one glance; a WhatsApp message that scrolls defeats the purpose of a quick reply.

Where this fits with Tailwind

Static templates cover the first message. For everything after that, Tailwind's AI Assistant is an AI that answers WhatsApp for you — trained on your real hours, pricing, services and policies, handling the back-and-forth a static away message can't, and handing off to a person the moment a conversation turns into a complaint or anything that needs a human judgment call. It's currently in private beta; join the waitlist to get in as it rolls out.

If WhatsApp is one of several channels you're juggling, it's worth setting up the same for Instagram next — the logic is nearly identical, just through a different app. Our guide to Instagram DM automation walks through the setup and the one hard rule that matters there: use Meta's official API, never a workaround.
