Chasing Late Payments: A Collections Sequence That Keeps the Relationship
This is general guidance, not legal advice — consult an attorney about debt-collection rules and your options.
The mindset: firm and professional, not emotional
Most late payments aren’t malicious — people forget, get busy, or have their own cash-flow issues. Approach collections as a calm business process, not a confrontation. A structured sequence that escalates gradually recovers most invoices without a fight — and the ones who never intended to pay reveal themselves quickly.
The collections sequence
- Before due date — friendly reminder: “Hi [Name], just a heads-up your invoice for [job] is due [date]. Here’s the pay link. Thanks!” Prevents lateness entirely for many.
- Day 1–3 past due — gentle nudge: “Hi [Name], your invoice for [job] was due [date] and is now outstanding. Maybe it slipped by — here’s the link. Let me know if any questions.”
- Day 7–10 — direct follow-up: A phone call plus email. Warm but clear: “I wanted to check on the outstanding invoice for [job]. Can we get that settled this week? Is everything okay with the work?” (Surfaces any hidden dispute.)
- Day 15–20 — firmer notice: A more formal reminder stating the amount, the original due date, and a clear deadline. Mention any late fee per your terms.
- Day 30+ — final notice: A written final demand with a firm deadline and the consequences (collections, etc.), still professional.
- Beyond: escalate to a collections agency or small claims as a last resort — know the legal rules first.
Keep the relationship intact
- Always give the benefit of the doubt early — most people just forgot.
- Ask if there’s a problem with the work — sometimes non-payment is an unspoken complaint (complaint handling).
- Offer a payment plan for genuine hardship rather than losing it all.
- Stay professional at every step — anger gets you a bad review, not a check.
Prevent late payments in the first place
The best collections is the one you never have to do — set clear terms upfront, invoice instantly, take deposits, and make paying easy (get paid faster, deposits). Automate the reminder steps so the early, friendly nudges always happen (automation).
