Facebook Messenger Auto Reply for Business: Setup and Templates

Someone messages your Facebook Page at 9pm asking if you're open Saturday. If nothing replies until Monday morning, there's a decent chance they've already messaged three competitors by then. Facebook's native auto-reply tools can cover the basics for free. Here's how to set them up, where they stop being enough, and a set of templates to copy for the most common Messenger conversations.

Setting up native Facebook auto-replies

Facebook Pages have two built-in tools worth turning on regardless of anything else you do, found under Page settings → Messaging (or, on newer Page layouts, under "Automations" in Meta Business Suite):

  • Instant reply — fires the moment someone sends your first message, any time of day. Use it to set expectations: confirm you've received the message and give a rough reply time.
  • Away message — fires outside hours you define, and can say something different from the instant reply (useful for "we're closed until Monday" versus a daytime "we'll reply within the hour").
  • Frequently asked questions — lets you set up a short list of tappable questions with canned answers, shown to people when they first open the chat.

All three are free, take about ten minutes to configure, and are worth having on even if you add something more capable later.

A few things make the FAQ shortcuts actually useful instead of decorative. Keep the list to three or four questions — a wall of buttons is just another thing to scroll past. Phrase each one the way a real customer would type it ("Do you offer free estimates?" not "Estimate Policy"), and revisit the list seasonally, since the questions people ask in December aren't the ones they ask in July. Treat it the same way you'd treat a short FAQ page on your website: a handful of genuinely common questions, kept current, not an exhaustive list.

Where native tools fall short

The honest limitation of Facebook's built-in tools is that they're static. An instant reply says the same thing to everyone, the FAQ buttons only cover questions you anticipated and tapped in by hand, and neither one can actually answer a real question — someone asking "do you have anything open this Thursday afternoon" or "does the price include parts" gets the same generic "thanks, we'll get back to you" as someone just saying hello. It's the same ceiling businesses hit with Instagram DM automation, since Instagram's native quick replies have the same static limitation — useful for acknowledging a message, useless for actually answering one.

For a business that gets a handful of Messenger messages a week, that ceiling may never matter. For one getting dozens — booking requests, pricing questions, hours checks — it means a human is still manually answering most of what comes in, just with a slightly less awkward gap before they do.

When an AI-backed assistant is worth it instead

The jump worth making is from "acknowledges a message" to "actually answers it." An AI-backed assistant trained on your real hours, pricing and policies can handle the specific version of a question — not just "we're open," but "yes, open Thursday until 6, and we have a 2pm slot free" — and still knows to step back and loop in a person for anything it shouldn't handle alone, like a complaint or a refund request. That's the point where Messenger stops being a queue of messages someone has to clear every morning and starts actually resolving things on its own.

Why speed matters more on Messenger than it seems

Messenger conversations feel casual, which makes it easy to underrate how quickly people expect a reply there compared to, say, email. Someone messaging a business page is usually comparing you to whichever competitor also has a Page — and whichever one answers first often gets the booking, especially for anything time-sensitive like same-week availability. An instant reply that buys you a few hours of goodwill, and an actual answer that arrives before the customer's attention moves elsewhere, matter more on this channel than they would somewhere slower by nature.

Templates for common Messenger scenarios

Swap in your own details for the brackets below — the goal is something that still sounds like your business, not a form letter. A few of these overlap with what you'd set as your native instant reply or FAQ answers; the rest are useful as saved replies for a human to send quickly, or as training material if you move to an AI-backed assistant.

Instant reply (business hours)

"Thanks for messaging [Business Name]! We've got your message and typically reply within [X hours]. In the meantime, feel free to check our hours and services at [link]."

Away reply (after hours)

"Thanks for reaching out to [Business Name]. We're closed right now — our hours are [hours]. We'll get back to you as soon as we're open. For something urgent, call us at [phone]."

Hours question

"We're open [days/hours]. Heads up that our hours shift a bit around holidays — if you're planning a specific day, just ask and we'll confirm."

Pricing question

"Our [service] typically runs [price range], depending on [factor, e.g. size/scope]. Want a firm quote? Send us a few details about your [job/ project] and we'll get back to you with a number."

Booking request

"Happy to get you booked in! What day works best for you, and is there a time of day you'd prefer? We'll check availability and confirm."

Review request follow-up

"Thanks again for choosing [Business Name]! If you have a minute, we'd really appreciate a quick review here: [link]. It helps a small business like ours more than you'd think."

Handoff to a human

"I want to make sure this gets handled properly — let me connect you with someone on our team who can help directly. They'll have everything you've told me so you won't need to repeat it."

One inbox for Messenger and Instagram

Because Meta links the two, Messenger and Instagram DMs can often be managed from a single unified inbox inside Meta Business Suite rather than switching between apps — worth setting up regardless of whether you automate anything, just to stop missing messages on whichever app you didn't happen to have open.

A couple of things that make auto-replies land better

An auto-reply that reads like a form letter tends to get ignored even when it technically answers the question. Writing in the same voice you'd use if you were typing it yourself — contractions, your business's usual tone, no corporate boilerplate — makes a bigger difference than most businesses expect. It also helps to be upfront that a first reply is automated rather than letting someone assume they're already talking to a person; a quick "this is an automated reply, a real person will follow up shortly" avoids the slightly awkward moment where a customer keeps chatting with a message that can't actually respond.

Finally, don't let an auto-reply become the last word on anything that matters. It's a placeholder that buys time, not a substitute for someone actually reading the message and following up — a Page that answers fast but never resolves anything ends up just as frustrating as one that's slow.
