Auto Reply Text Messages for Business: 25 Templates
Before you send anything: the compliance step
Texting customers from a business number in the US isn't just a feature you turn on — it requires A2P 10DLC registration through your carrier or texting provider before messages reliably go through. Unregistered business traffic gets filtered or blocked by carriers, which means auto-replies that look like they sent can simply never arrive. This isn't optional paperwork to put off; it's the difference between these templates working and silently failing. Most texting platforms walk you through registration during setup — confirm it's done before you rely on any auto-reply going out.
Registration isn't instant either — it can take anywhere from a day to a couple of weeks depending on the carrier and how your business is verified, so this is worth starting before you need it, not the week you plan to launch texting. And registration is only half of staying compliant: every automated text program also needs to honor opt-outs (a customer texting STOP should actually stop receiving messages) and should make it reasonably clear who's texting them. None of the templates below replace that groundwork — they're what you say once the underlying setup is actually in place.
After-hours
1. "Thanks for texting [Business Name]! We're closed right now — our hours are [hours]. We'll reply as soon as we're back."
2. "You've reached [Business Name] after hours. We'll get back to you first thing [next open day]. For anything urgent, call [emergency line]."
3. "Thanks for your message! Our team is offline for the night but we see every text — expect a reply by [time] tomorrow."
Busy or on a job
4. "Thanks for texting! We're out on jobs right now and will reply as soon as we're back at the desk — usually within [X hours]."
5. "Got your message! Our team is heads-down with customers at the moment. We'll text you back by end of day."
This one is worth having even if your team is usually reachable, since it covers the specific hours when you're on-site and can't realistically check a phone — which is exactly when a customer is most likely to try texting instead of calling.
Appointment confirmation
6. "You're confirmed for [service] on [date] at [time] with [name/team]. Reply CANCEL to cancel or RESCHEDULE to pick a new time."
7. "Thanks for booking with [Business Name]! We've got you down for [date] at [time]. See you then."
Appointment reminder
8. "Reminder: your [service] appointment with [Business Name] is tomorrow at [time]. Reply RESCHEDULE if you need to change it."
9. "See you today at [time] for your [service] appointment! Reply here if anything's changed."
10. "Your appointment with [Business Name] starts in 1 hour. Address: [address]. Questions? Just reply."
Missed-call follow-up
11. "Sorry we missed your call! This is [Business Name] — how can we help? Reply here and we'll get right back to you."
12. "We just missed you — our line was busy. What can we help with? Text us back and we'll pick it up from here."
13. "Hi, this is [Business Name] — saw we missed your call. If it's about booking, availability, or a question, just text us here."
A missed-call text is worth setting up even if you do nothing else on this list — it converts a call you lost into a conversation you didn't, and most texting platforms can trigger it automatically off a missed call without any extra work on your end.
Review request
14. "Thanks for choosing [Business Name]! If you have 30 seconds, we'd really appreciate a quick review here: [link]."
15. "Hope everything went well with your [service]! A quick review would mean a lot to our small business: [link]. Thank you."
Timing matters here as much as wording — a request sent right after the job, while the experience is fresh, converts better than one sent days later as a generic blast.
Booking link
16. "Want to get on the schedule? Book a time that works for you here: [booking link]."
17. "You can see our open slots and book directly here: [booking link] — no need to wait for a callback."
Pricing question
18. "Our [service] typically runs [price range], depending on [factor]. Want an exact quote? Tell us a bit about the job and we'll follow up with a number."
19. "Pricing for [service] starts at [price]. Send us a few details (size, timing, location) and we'll get you a firm quote."
Keep the range honest — a range so wide it's meaningless ("$50 to $5,000") isn't actually useful to the customer, and a number that's consistently lower than what you end up charging erodes trust fast.
Location and directions
20. "We're located at [address] — [brief landmark or parking note]. Here's a map link: [link]."
21. "You'll find us at [address], right [landmark reference]. Let us know if you need directions from a specific area."
Holiday hours
22. "Heads up: we'll be closed on [holiday] and back to normal hours on [date]. Text us anytime — we'll reply when we're back."
23. "Our holiday hours: [dates/hours]. Thanks for your patience, and happy [holiday] from [Business Name]!"
Set these up a few days ahead of the actual holiday, not the morning of — customers planning around a closure appreciate the heads-up more than the reminder itself.
Out of office
24. "[Business Name] is currently closed for [reason, e.g. vacation, training day]. We're back on [date] and will reply then."
25. "Our team is out until [date]. For anything time-sensitive, call [alternate contact]. Otherwise, we'll reply as soon as we're back."
Making these actually sound like you
Copy-pasted exactly, these templates will read a little generic — that's fine as a starting point, but worth fixing before they go live. Fill in the bracketed details with real specifics rather than leaving anything vague, use your actual business name instead of a placeholder, and read each one out loud once. If it doesn't sound like something you'd actually text a customer, trim it down. Shorter, more casual versions tend to perform better than anything that reads like a legal notice.
It's also worth deciding up front which of these need to trigger automatically (missed-call follow-ups, appointment reminders, after-hours replies) versus which work better as saved quick-replies a person sends manually (pricing, location, review requests) — not every template on this list needs to fire without a human involved.
Where this fits with Tailwind
Static templates cover the predictable cases, but real texts don't always match the script — someone asks a pricing question with specifics, or wants to reschedule with conditions attached. Tailwind's AI Assistant replies to texts in your voice, trained on your actual hours, pricing and policies, so it can handle the version of the question that doesn't fit a template — and it still hands off to a person for anything sensitive. It's currently in private beta; join the waitlist to get access as it rolls out.
Comparing full texting platforms
Auto-replies are one piece of a bigger decision. If you're choosing the platform that'll handle your business texting end to end — reminders, two-way conversations, team inboxes, compliance — the fuller comparison of business texting platforms walks through how the main options stack up.
